Why a locum profile or completed-shift record may exist even when the pharmacist has not created an account, and how to access, correct, restrict, or request a private review of it.

Who controls your information

Rate a Locum is the controller for the personal information described in this notice. You can contact us at info@ratealocum.co.uk about this notice, your information, or any concern about a profile or review.

This notice applies even if you have not created a Rate a Locum account. It supplements our main Privacy Policy.

Information we may hold

We may hold your name, GPhC registration number and status, public professional-register details, pharmacy-provided contact details, booking and agreement records, cancellation records, and factual platform activity linked to your professional work.

Verified pharmacy users may submit ratings, written feedback, and structured answers about a completed shift. These are opinions attributable to their authors, not verified statements by Rate a Locum, and are subject to moderation and information-rights checks.

Where the information comes from

Information may come from the public GPhC register, verified pharmacy branches that book or work with you, records produced through genuine platform bookings and agreements, and information you provide directly to us.

A pharmacy branch may provide your business contact email so that an agreement or privacy notice can be sent. We do not publish that email to other branches.

Why we use it

We use this information to verify professional identity, prevent false or overlapping booking records, support genuine branch staffing decisions, issue agreements, moderate completed-shift feedback, investigate misuse, and protect platform and patient-safety integrity.

We generally rely on legitimate interests: operating a trustworthy professional platform, helping pharmacy branches assess genuine staffing history, and preventing fraudulent or abusive records. We balance those interests against your rights, the sensitivity of the information, and the potential effect on professional opportunities.

Rate a Locum does not make solely automated decisions about your professional eligibility or employment. Pharmacy users remain responsible for their own decisions and must verify critical information independently.

Who can see it

Locum profiles and reviews are restricted to approved pharmacy users with active feature access and authorised Rate a Locum staff who support verification, security, moderation, privacy requests, or factual corrections.

Service providers may process limited information for hosting, database, monitoring, security, and email delivery under appropriate contractual controls. Information may also be disclosed where the law requires it.

How long we keep it

We retain information only while it is needed for the platform purpose, an active dispute, security and fraud prevention, or a legal obligation. We periodically review record categories and remove or anonymise information that is no longer required.

A request to erase information may be limited where a record must be retained to resolve a dispute, protect another person's rights, prevent abuse, or establish or defend a legal claim.

Your rights and how to request a correction

You can ask for a copy of your information, correct inaccurate factual data, object to processing, request restriction while disputed information is checked, or request erasure where the law applies.

Email info@ratealocum.co.uk with your name, GPhC number, the record you are concerned about, and the outcome you are requesting. We will verify identity before disclosing or changing personal information and will respond within the applicable legal timeframe.

You can complain to the Information Commissioner's Office at ico.org.uk if you remain dissatisfied with how your information is handled.
